Privacy Policy.

Ajax Amateur Football Club Inc. (“the Club”, “we”, “us”) respects your privacy. This policy explains what personal information we collect through the member portal at members.ajaxfc.com.au, how we use and protect it, and the choices you have. We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth).

1. Information we collect

We collect the personal information we need to run your membership and the club, which may include:

  • identity and contact details — name, email, phone number, and postal or suburb details;
  • membership details — membership type and status, team, and date of birth where relevant;
  • emergency contact and, where you provide it, relevant medical information for participation;
  • payment information — processed by our payment providers; we receive confirmation of payment and limited details, but do not store full card numbers;
  • communications you send us and your marketing preferences; and
  • basic technical and usage information when you use the portal (for example, sign-in activity).

2. How we collect it

We collect information directly from you when you register, join or update your profile, and when you contact us. We may also receive information from:

  • our payment and subscription providers, when you pay for or renew a membership;
  • sporting bodies, leagues and registration platforms the Club participates in; and
  • automatically through the portal when you use it.

3. How we use your information

We use your personal information to:

  • provide and manage your membership and access to the portal;
  • process payments and renewals;
  • communicate with you about your membership, club activities, matches and events;
  • run the Club and meet our obligations to leagues, associations and regulators; and
  • keep the portal secure and improve it.

4. Marketing communications

We may send you club news and updates. Where the law requires your consent, we will obtain it, and you can opt out of marketing at any time using the unsubscribe link in our emails or by contacting us. We will still send you essential messages about your membership (for example, renewal and payment notices).

5. When we share your information

We do not sell your personal information. We may share it with:

  • service providers who help us run the portal and the Club — such as hosting, payment, email and communications providers — who are only permitted to use it to provide those services;
  • club officials and volunteers who need it to carry out their roles;
  • leagues, associations and sporting bodies where required for registration and competition; and
  • others where you have consented, or where we are required or permitted by law.

6. Overseas storage

Some of our service providers may store or process information on servers located outside Australia. Where they do, we take reasonable steps to ensure your information is handled consistently with this policy and the Australian Privacy Principles.

7. Keeping your information secure

We take reasonable steps to protect your personal information from misuse, loss and unauthorised access, including access controls and secure hosting. No system is completely secure, so we cannot guarantee absolute security, but we work to protect your information and to respond appropriately if an issue arises.

8. How long we keep it

We keep personal information for as long as we need it for the purposes described above and to meet our legal and record-keeping obligations, after which we take reasonable steps to delete or de-identify it.

9. Accessing and correcting your information

You can view and update much of your information in your profile. You may also ask us for access to the personal information we hold about you, or to correct it, by contacting us. We will respond within a reasonable time and will let you know if we are unable to meet your request and why.

10. Cookies

The portal uses cookies and similar technologies that are necessary to sign you in, keep your session secure and remember your preferences. You can control cookies through your browser settings, though some features may not work properly without them.

11. Complaints

If you have a concern about how we have handled your personal information, please contact us first at info@ajaxfootballclub.com.au and we will work to resolve it. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

12. Changes to this policy

We may update this policy from time to time. When we do, we will change the “last updated” date above and, where the changes are significant, let members know.
